This policy explains what personal data Codelash collects through this website and Codelash Field CRM, why we collect it, who we share it with, and the choices and rights you have. We never sell personal data.
1. Who we are
Codelash (“Codelash”, “we”, “us”), 401, Chandrakala Tower, IG Marg, Near Bhavans School, Manjalpur, Vadodara – 390004, Gujarat, India. You can reach us at [email protected] or on WhatsApp at +91 90167 66703.
For the website and for our own customer accounts, Codelash decides how personal data is used. For the records your business adds to Field CRM, your business decides, and we process that data on its behalf.
2. What we collect
When you contact us or book a demo
Your name, email address, phone number, company, and anything you tell us about your business, whether you write to us by email, message us on WhatsApp or book a demo through Google Calendar.
When your business subscribes
The name, email address, phone number and role of each user, and billing details such as company name, billing address and GSTIN. Payments are handled by our payment gateway partner. We do not see or store full card or bank account details.
What your team adds to Field CRM
Companies, contacts, visiting card photos, visit and call logs, voice or typed notes, deals, tasks, quotations, expenses and receipts. When a user logs a visit, Field CRM records the phone's location at that moment, with the browser's permission, to mark the visit on-site or off-site.
When you visit this website
We use Google Analytics to understand how the website is used, and the Google Ads tag to measure how well our advertising works, for example how many people who clicked an ad went on to book a demo. Together they collect pages viewed, time on page, the referring site or ad, browser and device type, and approximate location, using cookies. They do not tell us who you are.
3. How we use it
- To provide Field CRM, set up accounts and keep the service secure.
- To reply to questions, give demos and provide support.
- To bill you, issue invoices and keep the records tax law requires.
- To understand how the website and product are used, so we can improve them, and to measure our advertising.
- To send service messages, such as reminders, digests, renewal notices and important changes.
- To send product news, only if you have agreed to it. You can opt out at any time.
4. AI features
Some Field CRM features use AI: reading a visiting card or signboard, turning a spoken sentence into a visit log, scanning a receipt and answering questions about your pipeline. To do this, we send the content needed for that feature, such as the photo, the sentence or the question, to an AI service provider that processes it and returns the result.
If your team connects Field CRM to Claude or ChatGPT, the data those assistants ask for is shared with that provider at your team's request, under that provider's privacy policy.
5. Who we share it with
We share personal data only with providers that help us run the service, and only as much as they need:
- hosting and infrastructure providers;
- AI service providers, for the features above;
- email, Slack and WhatsApp, to deliver messages and notifications;
- our payment gateway partner, to process payments;
- Google, for analytics, advertising measurement and demo booking.
We may also disclose data where the law requires it, or to protect our rights or the safety of others. Some of these providers may process data outside India.
6. Cookies
The website uses Google Analytics and Google Ads cookies to measure visits and the results of our ads. Field CRM uses essential cookies or similar browser storage to keep you signed in. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's opt-out add-on, and manage how Google uses ad data in My Ad Center. Google's use of this data is covered by Google's privacy policy.
7. Security
Data travels over encrypted connections (HTTPS). Access inside Codelash is limited to the people who need it to run and support the service, and Field CRM's roles let your admin control who on your team sees what. No system is completely secure, so if we become aware of a breach that affects your data, we will tell you and the authorities as the law requires.
8. How long we keep it
We keep account and CRM data while your subscription is active. After it ends, you can ask for a copy for up to 30 days, after which we delete it. We keep invoices and payment records for as long as tax law requires. Enquiries that don't lead to a subscription are deleted when we no longer need them.
9. Your rights
Under India's Digital Personal Data Protection Act, 2023 and other applicable law, you can ask us to:
- tell you what personal data we hold about you and how we use it;
- correct or update it;
- delete it, unless the law requires us to keep it;
- stop using it where you gave consent, such as for marketing.
Email [email protected] and we will respond within 7 working days. If your details are stored in Field CRM by a business that uses it, please contact that business first. We will help them answer you.
10. Children
Field CRM is a business service. It is not meant for anyone under 18, and we do not knowingly collect their data.
